Import Location, Site and Site Year

Overview

Import Location Wizard can be used to import Location as well as site and site year.

Click here for utility to update Location Postcode using Location data file from www.austpost.com.au.

Following (dummy) example is used in this page for illustration only.

Tips: If the source file has Location Name, Postcode, Site Name and Site Year columns (as shown above), then this wizard can be used to import Location, Site and Site Year without closing the wizard.

Required Column to import data

Following table list required columns for each import options:

Import Option Required columns in the source file
Import Location Location Name and Postcode
Import Site Location Name, Postcode and Site Name
Import Site Year Site Name and Site Year

First Page of Import Location Wizard

This wizard can be activated using [ Task > Trial > Site > Manage Location > Record > Import Location ]. It has following options:
The first page of the import wizard changes as per the selected option (above) but the second page is same for all the options.

Import Location

This option can be used to import Location from the source file.

  1. Select the [ Import Location ] option.
  2. Select source file to import location.
  3. Tick this check box if the source file has repeated Location name and Postcode so that only the last row of each location name and postcode are used to import Location. 
    • In the example table, the Location Name "Ariah Park" of Postcode "2665" are repeated in all the rows. If this checkbox is ticked, the import wizard will use the last row of Location Name "Ariah Park" of Postcode "2665" only otherwise the import wizard will fail since it can not insert two location records with same Location Name and Postcode.
  4. Map column names used in spreadsheet with column name of the database.

Import Site

This option can be used to import Site from the source file.

  1. Select the [ Import Site ] option.
  2. Select source file to import site.
  3. Tick this check box if the source file has repeated Site name  so that only the last row of each site name are used to import Location. 
    • In the example table, the Site Name "Site X" and "Site Y" are repeated more than 2 times. If this checkbox is ticked, the import wizard will use the last row of Site Name "Site X" and "Site Y" only otherwise the import wizard will fail since it can not insert two site records for the same Site Name.
  4. Tick this checkbox if the site is going to be used all the Sub-systems in the database or you're not sure!
    • Tips: While importing Sites, always tick this check box. Once all the trial records for a Sub-system is imported, use [ Task > System > Manage Sub-system > Record > Auto-Rebuild Site List of selected Sub-system ] to build the site list with only those sites that have at least one trial of the selected Sub-system.
  5. If you have not used Trial Acronym before or not sure, then always tick this option (rather than [ Use Location Acronym ] option).
  6. If your data have Trial Acronym based on Location (rather than site) then use this option. This is specially for migrating data from systems that have been using trial acronym.

Import Site Year

This option can be used to import Site Year from the source file.

  1. Select the [ Import Site Year ] option.
  2. Select source file to import Site Year of site.
  3. Tick this check box if the source file has repeated Site Name and Site Year so that only the last row of each location name and postcode are used to import Location. 
    • In the example table, the Site Name "Site X" of Site Year "2000" are repeated more than once. If this checkbox is ticked, the import wizard will use the last row of Site Name "Site X" of Site Year "2000"  and Site Name "Site Y" of Site Year "2001" only otherwise the import wizard will fail since it can not insert two site year records with same Site Name and Year.
  4. Map column names used in spreadsheet with column name of the database.

The default order of columns displayed can be changed by editing the column list of the Misc Group as listed below.
